In today’s HR operations, attendance management is no longer just about recording employee presence. It has become a critical foundation for ensuring workforce data accuracy, policy compliance, and effective payroll calculations.
Recognizing this growing complexity, SunFish Academy conducted the Time & Attendance Module Refresher Training Batch II on 15 April 2026, designed to help HR teams strengthen operational attendance control through a more structured understanding of the system.
The session was led by Angelina Dinar Puteri Dewi from the Software Maintenance team, who guided participants through a live demonstration using the SunFish Demo Instance. This approach enabled participants to gain practical insights into how system features are applied in real operational scenarios.
During the session, participants revisited how the Time & Attendance Module in SunFish HR serves as an integrated system that connects multiple HR operational aspects, from workforce scheduling to attendance data validation.
Key Focus Areas
The training emphasized three core areas that are essential for managing attendance effectively:
1. Attendance Management
Attendance management begins with proper configuration, including:
- Employee shift and work schedule management
- Holiday configuration
- Attendance location setup
- Attendance status management
- Attendance data upload and processing
This structured approach ensures that attendance data remains consistent, reliable, and ready to support HR decision-making.
2. Attendance Request & Workflow
Beyond attendance data, the session also highlighted the importance of managing attendance-related workflows, including:
- Leave type management
- Employee leave balance configuration and monitoring
- Mass leave administration
- Overtime management
- On-duty request processing
With an integrated workflow, organizations can ensure that any changes in attendance status are accurately recorded within the system.
3. Attendance Interface & Data Integration
Another key focus was the integration of attendance data from external devices such as fingerprint machines.
The session covered:
- Attendance interface processes
- Data upload and validation
- Monitoring interface results
- Managing data corrections or deletions
This ensures that attendance data entering the HRIS remains accurate, synchronized, and auditable.
The training was attended by organizations from diverse industries, including hospitality, manufacturing, energy, and professional services. Participants included companies such as Alila Seminyak, Hyatt Place Makassar, Daikin Industries Indonesia, Multipolar Technology Tbk, and Sodexo Indonesia, among others.
This diversity highlights that attendance management challenges are universal across industries, while requiring flexible system configurations tailored to each organization’s operational needs.
Q&A Session
The session concluded with an interactive discussion addressing real-world attendance management scenarios faced by participants.
One of the key topics raised involved situations where grace time out overlaps with the next working day. It was explained that the system typically associates such time entries with the previous day, as attendance processing follows chronological sequencing. Without adjustment, the recorded time will remain part of the previous day’s attendance.
Participants also asked how overtime is calculated when the “calculate after productive minutes fulfilled” setting is enabled, particularly in cases where employees do not have check-in records. It was clarified that overtime will not be calculated if there are no productive hours, as these serve as the basis for overtime computation.
Another discussion focused on the use of grace periods for late arrivals and whether similar tolerance applies to early departures. The trainer explained that grace periods are typically applied only to late check-ins, while early check-outs are still recorded as leave early, rather than being covered by tolerance settings.
These discussions provided participants with deeper insights into how system configurations influence attendance calculations and the importance of aligning system settings with company policies.
Through this training session, participants not only refreshed their understanding of the Time & Attendance Module, but also gained a broader perspective on how attendance data can be managed more strategically.
SunFish Academy continues to deliver learning sessions that go beyond system usage, focusing on how HR technology can be leveraged to improve accuracy, transparency, and operational efficiency across the organization.
