SunFish Academy Batch III: Managing Attendance with Precision in a Dynamic Workforce Environment

SunFish Academy time attendance training session Batch III May 2026 for HR teams

As workplace flexibility continues to grow and operational complexity increases across industries, attendance management has become an area that demands both accuracy and adaptability.

To address these evolving challenges, SunFish Academy conducted its Time Attendance Training through the Time & Attendance Module Refresher Training Batch III in May 2026, attended by 75 participants from various organizations. The session aimed to help HR teams better understand how attendance systems can be managed with greater precision across different operational scenarios.

The training was led by Ageng Ayu, Implementation Consultant at PT Indodev Niaga Internet, using a hands-on approach through a live demonstration in the SunFish Demo Instance. This method allowed participants to gain practical insights into how system features are applied in real-world HR operations.

From Attendance Recording to Operational Control

During the session, participants were encouraged to shift their perspective on attendance management. Rather than viewing it solely as a record of employee presence, attendance was positioned as a core operational control mechanism that directly impacts payroll accuracy, productivity, and policy compliance.

Based on the training materials, three key pillars of attendance management were explored in depth:

1. Consistent Attendance Structure

Effective attendance management begins with a well-defined system structure, including:

  • Employee shift and schedule configuration
  • Holiday setup
  • Attendance location management
  • Attendance status configuration
  • Attendance data management and uploads

This structured approach ensures that all attendance data within the system remains standardized and reliable as a foundation for HR operations.

2. Integrated Attendance Workflow

Beyond attendance recording, the system also manages a range of employee activity processes, such as:

  • Leave management (leave types and balances)
  • Mass leave administration
  • Overtime management
  • On-duty request processing

With an integrated workflow, any changes in employee activity are automatically recorded and synchronized within the HRIS, improving both visibility and control.

3. Data Integration and System Validation

One of the key challenges in attendance management is ensuring that data from multiple sources remains accurate and synchronized.

The training covered how the system handles:

  • Attendance interface processes
  • Data upload and validation
  • Integration monitoring
  • Data correction and adjustment

Proper interface management ensures that attendance data remains accurate, traceable, and ready for operational use.

Expanding Participation Across Industries

Batch III saw participation from 75 attendees across diverse industries, including mining, financial services, manufacturing, energy, hospitality, and international institutions.

Participating organizations included Aneka Tambang (ANTAM), Askrindo, Australian Embassy Indonesia, East West Seed Indonesia, FKS Group, Multipolar Technology Tbk, NYK Line Indonesia, Panasonic Industrial Devices Batam, and Pullman Bali Legian Beach, among others.

This broader participation highlights a growing trend: while attendance management requirements may differ across industries, the core challenges remain consistent, including:

  • Maintaining data accuracy
  • Ensuring consistency in attendance calculations
  • Managing scalable workforce operations

The diversity of industries reinforces the need for systems that are both flexible and adaptable to different operational environments.

Discussion Session: Balancing Flexibility and Control

The interactive discussion session addressed several real-world scenarios faced by HR teams in managing attendance.

One of the key topics discussed was the difference between grace for late and let out settings. It was explained that grace for late provides a tolerance window for employee check-in delays, while let out defines the maximum time limit for employees to still be able to check in. Understanding this distinction is essential for applying attendance policies consistently.

Participants also raised questions about managing attendance for employees with high mobility or remote work patterns. The session highlighted that attendance via SunFish Mobile can be configured flexibly, either restricted to specific locations or open for broader access. Additionally, monitoring tools such as attendance lists and location tracking provide supervisors with real-time visibility of employee activities.

Another discussion point focused on the possibility of opening attendance access close to working hours. It was explained that the system supports activity recording, enabling employees, especially those working remotely or in WFH arrangements, to log their work activities periodically. This feature provides additional visibility into employee productivity beyond traditional attendance tracking.

These discussions emphasized that modern attendance management requires not only accuracy, but also the flexibility to adapt to evolving work environments.

Through this SunFish Academy Time Attendance Training, participants gained not only technical knowledge but also strategic insights into how attendance systems can support more adaptive HR operations.

SunFish Academy continues to serve as a collaborative learning platform, helping organizations optimize the use of HR technology to build processes that are more accurate, transparent, and aligned with business needs.
