SunFish Q2 2025 Update: More Insights, Better Control, Smarter Experiences

SunFish HR Q2 Product Updates 2025

At DataOn, we believe HR is the engine that shapes people, teams, and the future of work. It is part of our journey to continually advance our SunFish platform to meet the evolving needs of modern organizations, from supporting hybrid teams to increasing visibility into the data that make your company tick. We understand that for HR professionals, staying ahead means more than keeping up with technology; it means building systems that empower employees, inspire engagement.

In our Q2 2025 release, we focused on three priorities: extending data visibility for decision-making, optimizing the newest HR functionalities for mobile screens, and enhancing the employee experience. These updates bring new ways to understand workforce sentiment, improve mobile-first HR processes, expand file management capabilities, and further improve localized compliance support.

Here’s what’s new and why it matters.

Introducing the Mood Dashboard: Real-Time Employee Sentiment at a Glance

Employee engagement has long been linked to business performance, but one of HR’s biggest challenges is measuring it consistently and meaningfully. Engagement surveys, while valuable, are often too infrequent and retrospective—they tell you how people felt months ago, not today. With the new Mood Dashboard, SunFish brings real-time workforce sentiment tracking directly into the HR toolkit.

Every day, employees are prompted with a short mood check-in via the SunFish Mobile app, usually after clocking in. These quick surveys generate a stream of live data that the dashboard consolidates into clear, actionable insights. HR teams and managers can now see:

  • Overall Mood Trends tracked across the past five months.
  • Real-time Monthly Metrics that highlight shifts in engagement.
  • Top Topics Impacting Sentiment, providing context for changes.
  • Lists of Happy and Unhappy Employees, helping managers prioritize follow-up.

The dashboard can be filtered by month and year, making it easy to compare changes over time and connect mood shifts with events like policy changes, seasonal workload peaks, or organizational announcements.

Why It Matters

Research shows that employees who feel heard are 4.6 times more likely to perform
at their best. By monitoring mood proactively, organizations can spot dissatisfaction
early—before it leads to attrition or burnout. The Mood Dashboard empowers HR
leaders and managers to replace guesswork with timely data, opening the door for
meaningful conversations that build trust, engagement, and retention.

SunFish Mobile Just Got Even More Capable

Mobile is no longer a “nice-to-have” in HR—it’s the expectation. Employees increasingly expect the same ease of use from workplace tools as they do from consumer apps, while managers need the flexibility to act without being tied to a desk. The Q2 2025 mobile updates bring more native functionality to the app and enhance the user experience for essential HR processes.

Here are major highlights on what’s improved:

  • Core HR on Mobile
Employee onboarding, offboarding, organizational charts, and employee directories are now fully optimized for mobile.
Interactive org charts let managers and employees zoom into reporting lines, making it easier to get a clear picture of team structures anytime.
  • New Hire Evaluations
Managers can now conduct probation evaluations directly from their mobile device.
Automated workflows ensure that outcomes—whether pass, extension, or non-continuation—are instantly reflected in the system, cutting delays and manual errors.
  • Upgraded Attendance Liveness Detection
To further strengthen security, attendance validation now includes dual-layer photo verification.
The system checks both the authenticity of the live image and its match against the employee profile photo, significantly reducing spoofing risks.

Why It Matters

Research from Gartner shows that 80% of the global workforce is deskless, yet many HR systems remain desk-bound.
By making more HR tasks available on mobile, SunFish empowers employees and managers to stay productive wherever
they are—without needing to switch devices or waiting to get back to their desks. This way HR can keep pace with
modern work habits while boosting engagement, and reinforcing trust through stronger security.

Expanding Document Management (DMS) Capabilities

Managing documents has always been one of the hidden time-drains in HR. Research shows that employees spend up to 20% of their workweek searching for information or documents, and HR is no exception, especially when files are scattered across inboxes, desktops, and shared drives. That’s why we embedded a Document Management function in SunFish in early 2025, and now in Q2 we’ve expanded its capabilities to make it even more secure, intuitive, and useful for everyday workflows.

Here’s what’s better:

  • Folder-Based Sharing
Users can group shared files into folders, allowing them to keep related files together for better organization while sharing them with the same people.
  • Reshare Button
In ‘Full Access’ mode users can re-share shared documents without needing to repeat the upload.
  • Role-Based Access Control for System Documents
For the category ‘System Documents’, access to Report Documents now follows the restrictions embedded in the user’s overall SunFish security access settings to make sure sensitive data stays protected.
  • Mobile Optimization
The DMS interface has been optimized for smartphones and tablets. Employees can now enjoy a smoother and more responsive experience when viewing and sharing files on their mobile devices.
  • Unified Design
The DMS interface layout and design has been standardized to provide a consistent user experience across both the My Document and the System Document tabs, thus reducing confusion and improving navigation between files

Why It Matters

Whether you’re working with confidential reports, contracts or team documents,
sharing and managing files now takes less effort and feels more intuitive.
Secure access and folder structures keep compliance in check, while mobile file access
removes friction and reduces administrative overhead.

Custom Dashboards & Smarter Reports

HR teams today are expected to make data-driven decisions—from monitoring attendance trends to analyzing compensation or engagement. But data that is hidden in spreadsheets or static reports often creates more bottlenecks than insight. That’s why expanding SunFish’s dashboards and reporting capabilities and making it easy to surface the right information at the right time is one of our ongoing priorities.

Here’s what’s new in Q2:

  • Configurable Dashboards
Build and personalize dashboards with bar and pie charts to highlight the metrics most relevant to your role. Place them where you need them most—whether on the main dashboard menu for daily oversight or embedded as in-page analytics into workflows like onboarding and employee profiles.
  • User-Defined Attendance Reports
Add detailed attendance fields to custom reports and apply filters more easily. This makes absence, lateness, or overtime data more actionable for managers and HR professionals alike.

Why It Matters

Dashboards and reporting tools are becoming critical enablers to respond to real business challenges quickly.
Whether it is spotting productivity dips early or identifying attendance risks before they become attrition—SunFish
ensures that these data become more visual, customizable, and accessible. Less time building reports means more time acting on them!
Deloitte research supports this, showing that the use of real-time people analytics improves decision-making 2.3x compared to static reports.

New Hire Evaluations

Onboarding is one of the most critical moments in the employee lifecycle, yet evaluations often rely on static processes that don’t reflect how a new hire is truly integrating. To help organizations strengthen early engagement, SunFish now brings configurable, automated new hire evaluations directly into the onboarding workflow.

HR teams and managers can:

  • Configure tailored evaluation forms to match probation or contract requirements.
  • Track evaluations through clear dashboards that consolidate forms, timelines, and evaluation groups.
  • Receive automated reminders 14 days before evaluation due dates, ensuring that supervisors never miss critical follow-ups.
  • Capture input on scores, comments, and conclusions in a streamlined interface, with submission enabled only when all fields are complete.
  • Manage evaluation outcomes flexibly—whether passing probation, extending reviews, or triggering termination steps.
  • These evaluations are integrated with performance reviews, making the transition from onboarding to ongoing performance management seamless.

Why It Matters

First impressions shape retention. By turning probation evaluations into a structured, data-driven process,
organizations can identify talent worth investing in early and take action when expectations aren’t met.
HR and team leaders gain a better understanding of employee progress, enabling them to help new hires adjust
faster and build stronger, more effective teams.

Payroll & Compensation: Greater Precision and Control

Payroll and compensation remain some of the most sensitive and business-critical areas of HR. A single error in salary calculation or offboarding payment doesn’t just affect efficiency—it undermines employee trust and organizational credibility. In Q2, we introduced workflow improvements that give HR teams greater precision, flexibility, and control over payroll and compensation planning.

  • Offboarding Mass Payments
HR professionals can now edit key payment-related fields—such as pay-through dates, final payments, transfer dates, and severance pay—across multiple employees at once, instead of processing them individually. Users can set rules for severance payments so that only relevant fields appear when needed, minimizing errors and unnecessary steps. With a clear, table-based view and bulk selection options, HR administrators can review, apply, and save updates in just a few clicks—making offboarding faster, more accurate, and more consistent.
  • Compensation Planning
HR teams can now define salary ranges by job grade, employment status, or organizational unit, ensuring consistency across different levels and regions. Multi-currency budgeting is supported, helping regional and global organizations plan salary increases in a way that respects both local practices and overarching policies. Exportable evaluation results in PDF or spreadsheet formats further simplify compensation reviews and board-level reporting.

Why It Matters

Payroll and compensation decisions are at the core of the employer-employee relationship. Employees who feel
pay is handled fairly are more engaged, while HR gains time to focus on strategy rather than manual corrections.
These enhancements reduce errors, strengthen compliance, and ensure compensation processes run smoothly—even
during high-pressure moments like mass offboarding.

Talent Management: Smarter Hiring, Performance, and Development

Attracting, developing, and retaining the right talent has become one of the most strategic priorities for modern organizations. Yet, without consistent tools and reliable data, performance reviews, hiring, and training can easily turn into fragmented processes that slow growth and frustrate employees.

In Q2, we introduced a wide range of enhancements across our talent management suite—covering performance management, OKRs, recruitment, and training. These updates give HR teams greater flexibility, consistency, and insight in how they acquire, evaluate, and develop talent, ensuring that workforce strategies stay aligned with business goals.
Performance Planning & Reporting

  • Performance Planning & Reporting
Our performance module now supports faster setup and richer insights. HR teams can upload appraisal components directly through Performance Planning, Evaluation Detail Upload, and Evaluation Filling Upload, reducing time and errors in configuring reviews. Reporting has also been expanded:

    • Competency Comparison Report: Now displays results by job family, job title, and position for sharper skill alignment insights.
    • Box Analysis Report: Presents performance data in visual formats, helping leaders spot trends and guide talent decisions.
    • User-Defined Reports: Users can add competencies for more tailored performance analysis.
  • OKR Framework Enhancements
Goal-setting has been made more powerful and flexible. Organizations can now define Key Results at the organizational level—not just at the individual level—ensuring stronger alignment across teams. Goals can be categorized when included in the Performance Planning form, and OKRs now appear directly in user inboxes for easy updating and tracking. Additional improvements include bulk uploads of organizational unit goal evaluations, direct upload of appraisal component details, and stronger data authorization for calibration processes, ensuring better control and security.
  • Recruitment
Hiring workflows are more efficient with simplified forms—conditional fields like From Client now appear only when relevant. A new Video Interview Question Library allows organizations to centralize and reuse questions across multiple hiring stages, bringing consistency and speed to the recruitment process. Moreover, digital signatures are now also available for offer letters to applicants and contracts.
  • Training
Instructors now have direct access to participant feedback in their training views, making it easier to adapt sessions in real time. Training dashboards and reports have also been upgraded, with detailed quiz scores, e-learning progress tracking, and effectiveness analysis for better visibility into outcomes.

Why It Matters

Building capable teams is the foundation of long-term business success. From making the right hiring
decisions to aligning organizational goals and optimizing development programs, these updates help HR and
leadership teams foster stronger alignment, reduce risks, and turn talent processes into engines
for innovation, retention, and growth.

Localization & Global Operations: Staying Compliant, Country by Country

Managing HR across multiple countries is complex. Every market has its own tax structures, government reporting formats, and compliance obligations. For HR teams, keeping up with these shifting requirements can become a time-consuming burden—and a single oversight can mean penalties or erode employee trust.

That’s why in Q2, we further strengthened SunFish’s localization feature to support HR operations across Southeast Asia. Our enhancements for Malaysia, Singapore, Brunei, and Vietnam ensure SunFish not only adapts to local laws and reduced manual adjustments for regional teams but helps HR teams scale confidently across borders.

Here’s what’s new:

  • Malaysia

    • Automatic dependent calculations based on child and disability data.
    • Add an option to the Employee’s Zakat (Islamic almsgiving) configuration to allow calculation from taxable income.
    • PTPTN (student loan) reporting added for employees with outstanding loans.
    • Executive and C-suite–specific tax calculation setup.
    • Enhanced overtime classifications, now clearly labeling hours as Rest Day, Public Holiday and Full Overtime Taken, for more accurate pay calculations.
  • Singapore

    • Improved new-hire upload template with added fields for Citizenship and Foreigner Type for accurate reporting and compliance from the start.
    • Better overtime classifications for Rest Day, Public Holiday and Full Overtime Taken.
  • Brunei

    • Employee information now includes a Citizenship field, strengthening compliance with government records.
  • Vietnam

    • New reports and compliance templates aligned with Vietnamese labor regulations.
    • New options for tax rounding calculations, aligning with local reporting standards.

Together, these updates allow HR teams to keep pace with evolving regulations without manual rework or risk exposure.

Why It Matters

Regionally operating businesses cannot afford compliance risks or slow responses to
changing local rules. These updates reduce administrative burden, prevent errors, and
allow HR teams to stay ahead of regulatory shifts—so organizations can focus on
people and strategy rather than paperwork.

    • Users can edit the “Estimate Closed Date” directly from the listing view, making updates quicker and more intuitive.
    • The system now displays the last modified date of each opportunity stage, ensuring better tracking of changes.
    • New filter saving functionalities allow reapplying search criteria without reconfiguration, saving time and improving consistency.
  • Emudhra Ecosystem Integration

    • Expanded to include Emudhra’s eSignature validation services, strengthening security and compliance for digital processes.
    • A dedicated Ecosystem page provides an overview of services and tools to purchase/manage Emudhra subscription details, including pricing per user and user access management with detailed usage logs.
    • Enhanced security with privacy and policy management for handling personal data, plus new authentication options such as certificate and secret key–based verification.

Why It Matters

When HR systems connect seamlessly across tools, processes, and third-party services,
they become part of a larger business engine. These enhancements support a better user experience,
smoother data flow, and more secure integrations—making automation
across your SunFish environment more reliable.
