The HR Challenge Every Malaysian Business Faces
HR management in Malaysia is no simple task. From SOCSO and EIS compliance to multi-entity payroll, the demands are real. That is why SunFish HR Malaysia’s Q4 2025 update directly tackles these everyday challenges.
Why This Update Matters for Malaysian HR Teams
SunFish HR 2025 Q4 release improves payroll accuracy, statutory compliance, leave management, and system security. In addition, every enhancement helps HR teams in Malaysia work faster and more reliably. Whether you manage one entity or many, SunFish HR gives your team the tools to close payroll with confidence. Read on for a full breakdown of what is new.
1. Multi-Company & Multi-Country Setup Made Simple
Managing multiple entities across borders has always been complex. Consistency, in particular, is often the biggest hurdle. Fortunately, the Q4 update solves this with Multi-Company & Multi-Country Default Data management.
When you create a new entity, the system automatically duplicates template data. As a result, local settings and configurations carry over instantly. This “set once, apply everywhere” approach significantly reduces setup time. It also minimises configuration errors during expansion.
Why It Matters

2. Malaysia Payroll Compliance: SOCSO, EIS & Claims Enhancements
SunFish HR Malaysia has strengthened its payroll compliance features in this release. As a result, meeting statutory requirements is now easier. Furthermore, the system manages employee claims with greater accuracy.
SOCSO & EIS Automation Upgrades:
- The system now automatically includes SOCSO and EIS contributions based on employee category
- Contribution logic now adjusts based on resignation date or contract type
- HR teams can now calculate tax-borne amounts by percentage
- Payroll reports now include dependent details
- Tax & Insurance Branch Management is now consolidated for easier oversight
Reimbursement & Claims Improvements:
- Future-Dated Claims Control — Admins can now block claims with future receipt dates to improve data integrity
- Auto-Cap to Remaining Balance — When a claim exceeds the limit, the system automatically suggests a valid capped amount
- Flexible Per Diem Modes — HR teams can now choose per diem calculation by day or by night
Why It Matters
3. Smarter Reporting & Dynamic Approval Workflows
SunFish Report continues to evolve as a powerful analytics and approval engine. The Q4 updates focus on giving HR teams greater control and reduce the need for custom reporting workarounds.
- Dynamic Signature Rules: Say goodbye to hardcoded approvers. SFReports now support dynamic signature formulas that select the right signatory based on runtime logic and pre-set rules. This means reports can automatically pull the correct authorized signature based on the data, making your automated reporting truly “hands-off.”
- Simplified Totals: New toggles allow users to show or hide grand totals and subtotals for cleaner report formatting.
- Drag-and-Drop Upgraded: Our drag interface now runs on a modern React kit for better browser support and smoother performance.
- Export Improvements: Charts can now be downloaded as PDFs with base64 conversion — especially helpful for board reports and audit-ready documentation.

Why It Matters
4. Document Management System (DMS) Upgrades
SunFish HR has delivered practical, time-saving improvements to its DMS. In turn, your team can now store, share, and secure HR documents more smoothly than before.
- Save External URLs as File References — Teams can now store Google Drive or OneDrive links directly inside the DMS. This keeps all resources in one place without duplicating storage.
- ZIP File Extraction — Users can now extract ZIP files directly within SunFish. There is no longer any need to download them first.
- Collaborative Project Folders — Teams can now share project folders across user groups with consistent paths
- Secure File Downloads — A new secure endpoint now protects data during both single and bulk downloads
- Initials-Based Document Signing — Users can now sign internal documents with initials for quick, accountable sign-off
Why It Matters

5. Stronger Security & System Administration
Protecting sensitive employee data is non-negotiable. Therefore, the Q4 update delivers significant security improvements across the platform.
- Token-Based File Downloads — The system now uses token-secured download links instead of legacy URLs. This prevents unauthorised access effectively.
- Patch Monitoring Dashboard — Admins can now view all applied patches in one centralised place
- Golang Authentication Engine — The system now powers login, SSO, and 2FA through Go for better performance and scalability
- Initialisation Progress Window — Large data tasks now display clear status indicators so admins always know what is happening
- Unique Claims Validation — The system now cross-checks receipt numbers to block duplicate financial entries
- Field-Level Access by Position — Admins can now restrict sensitive fields like salary by employee level, not just role
- Simplified Role Inheritance — Permission inheritance now behaves more predictably, making secure delegation easier to manage
- Improved Session Tracking — Enhanced logs now help admins spot suspicious activity and concurrent logins quickly
Why It Matters

6. Unified Helpdesk: Support Built Into SunFish
SunFish HR now retires its legacy external ticketing system. Instead, all client support now lives directly inside the SunFish Helpdesk module.
The new Helpdesk runs on two licence tiers:
- Helpdesk Ticket Licence (Free — SF117): Up to 5 client users can now submit tickets directly from within the app
- Helpdesk Internal Licence (Paid Add-On — SF131): This tier enables internal ticketing, SLA tracking, priority management, and admin escalation controls
Single Entry Point
Submit, track, and resolve issues directly from within your SunFish HRIS. No more switching platforms or lost ticket links.
Retirement of the Legacy Ticketing System
All support interactions are now handled via the embedded SunFish Helpdesk. The standalone external system will be discontinued.
Fully Embedded Navigation
All helpdesk features—ticket lists, SLAs, FAQs—are accessible via the standard menu, providing a consistent experience for clients and internal teams alike.
Why It Matters
7. Time Off & Attendance: Better Visibility, Fewer Disputes
Accurate time and attendance data directly impacts payroll. Therefore, the Q4 update gives employees and managers better tools for planning and decision-making.
- Leave Eligibility Checker — Employees now see balance and public holiday conflicts before they submit a request. This significantly reduces rejected submissions.
- View Colleagues’ Approved Leaves — Employees can now check team leave during their selected dates to avoid coverage gaps
- Bring Forward Leave Logic — Admins can now choose whether to deduct from carryover first or restrict usage within the rollover period
- Wi-Fi-Based Attendance Validation — For office-based teams, the system now validates attendance by requiring a registered Wi-Fi connection
- Flexible Leave Rounding — Admins can now round leave balances to the nearest 1, 0.5, or 0.25 days to match company policy
- Budgeted vs. Actual Man Days — Managers can now track project staffing utilisation in real-time directly from the attendance page
- Attendance Reports Until Termination — HR teams can now filter employee data up to the termination date for cleaner audits
- The system now includes stricter checks on attendance claims—like ensuring overtime only applies to eligible days and cross-referencing against real shift rosters.
Why It Matters
8. Performance & Growth: Refined Evaluations & Training
Talent tools don’t just track—they shape how people learn and grow. That is why, we have refined our talent management features to be more inclusive and transparent, focusing on the quality of feedback and ease of use.
- Dual Roles for Raters: We’ve solved a common conflict where a user might be both a rater and an approver in the same cycle. Users can now input their evaluations seamlessly without workflow bottlenecks.
- Anonymous vs. Non-Anonymous Tracking: To balance honesty with accountability, administrators can now toggle between anonymous and non-anonymous rater lists, giving HR better visibility into the progress of the evaluation process.
- Localized Training: Scheduling global training sessions is now easier with multi-timezone support in the Training module, ensuring that participants in Jakarta and Singapore see the correct local time for their sessions.
And while not a new feature set, several AI-supported upgrades were added to these modules as well:
- AI-Powered Quiz Generation: Training courses can now auto-generate quiz questions based on uploaded content or learning modules.
- Pre & Post Test Assessments: Compare participant knowledge before and after training for real outcome tracking.
- Feedback Summary with AI: Participant feedback is now summarized automatically — helping L&D teams improve courses faster.
Why It Matters
9. Admin Quality-of-Life Improvements
Repetitive clicks and manual data entry slow HR teams down. Accordingly, these targeted fixes make everyday admin tasks faster and smarter across modules.
- CRM Admin for Non-Sales Employees — HR and Finance teams can now serve as CRM Admins without needing a sales licence
- Automated Salary Increment Letters — The system now automatically sends increment letters to personal or company email based on configured parameters
- Clearance Reminders on Dashboard — Passive and ESS users now see outstanding clearance items directly on their dashboard
- Dynamic Tabs in Evaluation Setup — Sections now only appear when relevant, which reduces setup complexity significantly
- Auto-Titled Document Uploads — The system now auto-fills titles and categories based on filename patterns during uploads
- Approval Workflow for Profile Photos — HR teams can now configure approval workflows for employee profile photo changes
- Bank Account Auto-Apply — One click now propagates bank details to payroll payment methods, reducing data duplication
- Auto-Populated Offboarding Dates — The system now pre-fills last working dates based on notice period and contract terms
- Improved Field Mapping — Field values now carry over intelligently across evaluation forms, approval routing, and document templates
